What’s Included
Setup
Every payroll engagement begins with a thorough setup process, including:
- QuickBooks Payroll subscription selection and activation
- Employee onboarding (W-4s, direct deposit, pay rates, deductions)
- Tax account configuration (federal, state, unemployment)
- Pay schedule establishment
- Historical payroll data entry for mid-year starts
- Testing and verification before first live payroll
Note: QuickBooks Payroll activation requires 5–7 business days for bank verification and direct deposit testing. Start date depends on timely delivery of required information.
Ongoing Administration
Once setup is complete, Prime Entry Bookkeeping handles:
- Payroll processing on your established schedule (weekly or biweekly)
- Gross wages, bonuses, commissions, and reimbursement entry
- Employee deduction management (insurance, retirement, garnishments)
- Automated tax calculations and deposits via QuickBooks
- Payroll reporting and documentation
- Employee status and rate changes
- W-2 preparation and filing — available depending on your QuickBooks Payroll subscription level; prepared and processed by Prime Entry Bookkeeping at $4 per report
- 1099 preparation and filing — available depending on your QuickBooks Payroll subscription level; prepared and processed by Prime Entry Bookkeeping at $4 per report
Client responsibility: Provide payroll inputs at least 48 hours before each scheduled payday.
Payroll Services — Pricing
Pricing shown reflects standard engagements. Final fees depend on payroll complexity, pay frequency, and organizational structure. Commissions, garnishments, multi-state employees, and other specialized requirements may affect pricing. Your Clarity Call will confirm the right fit.
Setup Fee
- Standalone payroll clients: $750 (up to 5 employees, + $10 per additional employee)
- Clients with Bookkeeping Packages: $500 (up to 5 employees, + $10 per additional employee)
Monthly Administration Fee
- Clients with Bookkeeping Packages: $35 per employee per month / $105 monthly minimum
- Standalone payroll clients: $40 per employee per month / $120 monthly minimum
QuickBooks Payroll Subscription
Prime Entry Bookkeeping passes ProAdvisor Preferred Pricing on QuickBooks Payroll subscriptions directly to clients. Actual savings vary based on plan selection and billing method:
- Billed through Prime Entry Bookkeeping: you receive ProAdvisor Preferred Pricing with Prime Entry Bookkeeping managing the subscription
- Paid directly to Intuit: you manage the subscription directly; pricing and savings will differ

What We Need from You
Payroll runs on tight deadlines. To process accurately and on time, Prime Entry Bookkeeping needs from you — at least 48 hours before each scheduled payday:
- Gross wages for hourly employees
- Bonuses, commissions, or reimbursements
- Any changes to employee status, pay rate, or withholding
Everything else — tax calculations, deposits, filings — is handled by Prime Entry Bookkeeping through QuickBooks.
